The Role

The role of the Administration Assistant is to assist the WA Building Team, performing administrative functions to allow the smooth and efficient running of the department. Based in our Perth office, you will support Construction Managers and Site Managers and be a key connector across the business.

Your responsibilities will include:

Administration

  • Weekly Construction Reporting and Weekly MyOSH Reporting for Building Management Team
  • Manage the WA Construction Admin Inbox
  • Administrative support for the Building Management Team, including office and admin tasks as required
  • Assist with managing training calendars and registers (with Safety)
  • Assist with processing invoices and reimbursements and raising purchase orders
  • Manage updates to all standard forms, manuals and Master Lists
  • Document Control and filing of Construction Certificates (Termi, WAPW, Electrical, Plumbing etc.)
  • Maintain uniform stock levels and distribution and adhoc stationery ordering

Site Manager / Construction Assistance

  • Liaise with Safety and Accounts to set up new subcontractor onboarding for the Site Team
  • Creating Job Files, Trade Packs (and Scheduling Check when available) and SSSMP Packs for Site Starts
  • Auditing SSSMP completions with Site Managers
  • Printing Call Forwards as required

About You

You are a proactive and organised administrator who thrives in a fast-paced environment. You have a flexible approach, can manage competing priorities, and enjoy being part of a collaborative team.

To be successful in this role, you will have:

  • Flexible approach and attitude towards multi-tasking
  • Well developed verbal and written communication skills
  • Excellent time management, with the ability to be resilient and manage well under pressure
  • Organised with meticulous attention to detail
  • Strong PC skills, proficiency with Office 365 products
  • Outgoing and friendly personality and willingness to be part of a team
  • Strong problem-solving skills - understanding a situation or problem by breaking it down and working through it in a logical, systematic way
  • Ability to work collaboratively - taking actions that improve the collective performance of the team and build effective working relationships
  • Drive for delivering results and exceeding goals
  • Previous experience within the building industry will be highly regarded
  • Proficiency in inbox and diary management will be highly regarded
